Effective date: October 9, 2026
This privacy policy applies to Sales Secretary on the App Store (referred to throughout this document as "Sales Secretary" or "the app"). Sales Secretary is an inventory and item-profit tracker for sellers and resellers: it records what you buy, what you keep, return or sell, and works out your profit. Your privacy matters to us. This policy explains what data the app handles and where it goes.
Sales Secretary does not send your records to the developer. There is no Sales Secretary server, no separate app account, no analytics service, no advertising SDK and no tracking. Starting with version 1.6, you can choose to sync your records through your private Apple iCloud account. Apple processes iCloud data under its own terms and privacy policy; the developer cannot browse your private iCloud records.
Purchases, items, prices, sales, buyer details, notes, payment schedules and photos are saved in the app’s database on your device. Preferences and custom lists are saved in local settings. The app works offline. Versions before 1.6 store records locally; from version 1.6, optional iCloud sync is available and is off until you enable it in Settings.
When you enable iCloud sync and restart the app, existing and future purchases, items, returns, refunds, payment schedules, sales, buyer names and addresses, notes and attached photos are uploaded to your private iCloud database using Apple CloudKit. Custom and hidden option lists, your currency and the Needs attention return window use Apple’s iCloud key-value storage. This makes the same data available on supported iPhones, iPads and Macs where you use the same iCloud Apple Account and enable sync. There is no Google login or separate Sales Secretary login. Notification permissions, reminder times and notification lead times stay specific to each device.
Sync needs an internet connection, iCloud enabled for the app and available iCloud storage. Transfers are scheduled by Apple and may take time, especially photos. Your local records remain usable offline. Changes and deletions also sync; iCloud sync is not a separate historical backup. If the same field is edited on two devices before syncing, one edit may replace the other. Enabling sync combines existing device records with records already in iCloud. Import a manual backup on only one device to avoid duplicates.
You can turn sync off in the app’s Settings; the change takes effect after you close and reopen the app. This keeps the local records and does not erase the iCloud copy. Uninstalling the app does not remove records already synced to iCloud. To remove synced records, delete them in the app while sync is on and allow the deletion to sync. You can also manage the app’s iCloud storage in your Apple Account settings. Apple’s Privacy Policy and iCloud terms apply to Apple’s service.
Pro includes estimates based on your own recorded sales and listing history. A model bundled with the app and local statistical calculations run on your device through Apple Core ML. Item names, categories, brands, sizes, materials, colours, condition, item costs and completed sale prices can be used. Recorded asking prices, listing dates, pauses, withdrawals and sales rates derived from this history support sale-probability and buying estimates. Photos, buyer names, addresses and notes are not prediction inputs. No records are sent to NVIDIA, a model provider or an AI server.
Listing history is stored with the related item or sale and is included in manual JSON backups. With iCloud sync enabled, it also syncs through your private iCloud database. Deleting the owner removes its listing history. Estimates and temporary model calculations are not written into your accounting records or uploaded. Predictions require enough suitable history and are estimates, not guarantees.
You can attach photos of bills, items, return receipts and shipping labels. Photos you take or choose are downscaled and saved in the app’s database. If you enable iCloud sync, these copies also sync through your private iCloud storage. Camera and photo-library access are requested only to add photos you select. Photos are not included in the manual JSON export.
When you type a pick-up address, Apple’s MapKit search-completion service sends the partial text to Apple to retrieve suggestions. This can happen while you type, before you select a suggestion. Apple handles these requests under Apple’s Privacy Policy. The app does not attach other fields from your records to the search request.
Each saved location offers an "Open in Maps" action with a choice of Apple Maps, Google Maps or Waze. If you choose one, that address is passed to the app or website you selected, and from that point the chosen provider's own privacy policy applies (Apple, Google, or Waze respectively). Nothing is sent unless you tap the action and pick a provider.
Return, payment and shipping reminders are local notifications, scheduled on your device. They are off until enabled, and you can revoke permission in device Settings. Separately, when iCloud sync is on, Apple uses background push notifications to notify the app about cloud changes. These do not turn on reminder alerts and do not involve a Sales Secretary push server.
You can export your records to a file so you can keep a backup or move them to another device. The export is created on your device and handed to the standard iOS share sheet — where it goes next (Files, AirDrop, email, another app) is entirely your choice, and it leaves our control at that moment. The file contains the records you have entered, so treat it like any other personal document. Importing reads such a file back in and adds the records to what is already on the device. Photos are not included in exports.
The app can generate a one-page PDF summary of a selected period. It is produced on your device and shared only through the iOS share sheet, at your initiative.
Sales Secretary is free to download, and keeping your records in it is free with no limits. Sales Secretary Pro unlocks the analysis charts, Predictions, the PDF report, custom option lists and the widgets. It is sold as an auto-renewing subscription, monthly or yearly. It renews automatically unless you turn off auto-renew at least 24 hours before the period ends, and you can change or cancel it at any time in your Apple Account settings.
If you bought the one-off Sales Secretary Pro unlock while it was on sale in version 1.0, it stays yours permanently. It does not expire, it will not be converted into a subscription, and you will not be charged again.
All payments are handled entirely by Apple through the App Store. Your payment details are given to Apple, never to us: we do not see, receive or store your card, your billing address, your Apple Account or any part of the transaction. We receive only the anonymous, aggregated sales figures every developer gets from Apple, which cannot be traced back to an individual.
To know whether to unlock the paid features, the app asks the App Store what this Apple Account is entitled to. It does this when it starts, when it returns to the foreground, and when you tap "Restore purchase". That check is normally answered from the receipt already stored on your device, and nothing from your records is ever included in it. Current prices are fetched from the App Store only when you open the upgrade screen, and are not requested at all once you have Pro.
Sales Secretary Pro includes Home Screen and Lock Screen widgets. To show your figures outside the app, the app writes a small summary (your profit totals, and the names, dates and amounts of things that need attention) into a private container on your device that only Sales Secretary and its widgets can read. It is written when you leave the app and stays on your device; it is never uploaded or shared. The widgets make no network requests of their own. If you do not have Pro, the widgets show a locked state and the summary contains no records.
Network access is used for optional iCloud sync, address suggestions, opening a chosen maps provider and App Store purchase checks. Your local records remain usable offline. iCloud transfers wait for connectivity; subscribing, restoring purchases and online address suggestions need a connection.
Sales Secretary integrates no third-party analytics, advertising, crash-reporting or tracking services. Its data storage and optional sync use Apple frameworks, including SwiftData, CloudKit and iCloud key-value storage. Other Apple frameworks provide purchases, maps, photos, notifications and charts.
Sales Secretary has no social features, public profiles or public sharing of records. The developer does not receive records through iCloud sync. The app does not knowingly collect personal information from children.
The developer cannot view, correct or erase your private app records on your behalf. You can edit or delete records in the app. Deleting a purchase removes its items, linked sales and related photos; with sync on, those deletions propagate to your other devices. Uninstalling removes the app’s local data but does not delete a synced iCloud copy or separate exports and backups. Manage iCloud data through your Apple Account, and keep a separate export if you need a records backup. Manual JSON exports do not contain photos. If you contact us by email, we receive the information you choose to include and use it to respond to your request.
If this policy is updated, the revised version will be posted at this URL with a new effective date.
